Terms and Conditions

Welcome to Ledge. These Terms and Conditions govern your use of the Ledge mobile application and related services. By downloading, installing, or using Ledge, you agree to be bound by these terms. If you do not agree, please do not use the app.

1. About Ledge

Ledge is a receipt and expense tracking application developed and operated by Pivot Software (Pty) Ltd, a company registered in South Africa. Ledge allows users to photograph receipts, which are then analysed using artificial intelligence to extract and organise expense data.

2. Eligibility

You must be at least 18 years old to create an account and use Ledge. By using the app, you confirm that you meet this requirement.

3. Account Registration

To use Ledge, you must create an account using a valid email address and password. You are responsible for maintaining the confidentiality of your login credentials and for all activity that occurs under your account. You must notify us immediately if you suspect any unauthorised access to your account.

4. Use of Artificial Intelligence

Ledge uses third-party AI services to analyse receipt images and extract expense data. Specifically:

AI Provider: Receipt images you upload are sent to OpenAI (OpenAI, L.L.C., based in the United States) for processing using their GPT-4o Vision model.

Purpose: The AI analyses your receipt images to extract information such as the store name, date, item descriptions, quantities, and totals.

Data sent: The receipt image and a structured prompt are sent to OpenAI's API. No additional personal information (such as your name, email, or account details) is included in the request.

OpenAI's data policy: When using the API, OpenAI does not use your data to train or improve their models.

By using Ledge, you consent to your receipt images being processed by OpenAI as described above. The AI-extracted data may not always be 100% accurate. You are responsible for reviewing and verifying all extracted information.

5. Data Storage

Your receipt images are stored securely on cloud infrastructure (Amazon Web Services) to enable you to access them across sessions. Your account information and extracted expense data are stored in a secure database hosted on cloud infrastructure. Your data may be stored on servers located outside of South Africa, including in the United States and the European Union.

6. Subscriptions and Payments

Ledge offers both free and premium subscription tiers. Premium subscriptions are billed through the Apple App Store or Google Play Store, depending on your platform.

Auto-Renewal: Subscriptions automatically renew at the end of each billing period unless cancelled at least 24 hours before the renewal date.

Cancellation: You may cancel your subscription at any time through your device's App Store or Play Store settings. Cancellation takes effect at the end of the current billing period.

Refunds: Refund requests are handled by Apple or Google in accordance with their respective refund policies. Pivot Software does not process payments directly.

Price Changes: We may change subscription prices from time to time. You will be notified in advance of any price changes, and the new price will apply from your next billing period.

7. Acceptable Use

You agree not to use Ledge for any unlawful purpose or in any way that could damage, disable, or impair the app. You may not upload content that is illegal, fraudulent, defamatory, or infringes on the rights of others. You may not attempt to gain unauthorised access to any part of the app, its servers, or any systems connected to it. You may not reverse-engineer, decompile, or disassemble any part of Ledge. You may not use automated systems or software to extract data from Ledge.

8. Intellectual Property

Ledge, including its design, code, branding, and content, is the intellectual property of Pivot Software (Pty) Ltd. You are granted a limited, non-exclusive, non-transferable licence to use the app for personal, non-commercial expense tracking purposes. You may not copy, modify, distribute, or create derivative works based on Ledge without our prior written consent.

9. Disclaimer of Warranties

Ledge is provided on an "as is" and "as available" basis. We do not warrant that the app will be uninterrupted, error-free, or free from viruses or other harmful components. We do not guarantee the accuracy, completeness, or reliability of any data extracted by the AI from your receipts. Ledge is not a substitute for professional accounting, tax, or financial advice. You should not rely solely on Ledge for financial record-keeping, tax compliance, or any other purpose that requires professional expertise.

10. Limitation of Liability

To the maximum extent permitted by applicable law, Pivot Software (Pty) Ltd shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising out of or related to your use of Ledge. This includes, but is not limited to, loss of data, loss of profits, inaccurate AI-extracted information, or any financial decisions made based on information provided by the app. Our total liability for any claim arising from or related to these terms shall not exceed the amount you have paid for Ledge in the 12 months preceding the claim.

11. Account Termination

We reserve the right to suspend or terminate your account at our sole discretion if we believe you have violated these terms, are using the app fraudulently, or are engaging in behaviour that is harmful to other users or to our services. You may delete your account at any time through the app settings.

12. Changes to These Terms

We may update these Terms and Conditions from time to time. When we do, we will update the effective date at the top of this document and notify you through the app or via email. Your continued use of Ledge after changes are posted constitutes your acceptance of the updated terms.

13. Governing Law

These terms are governed by and construed in accordance with the laws of the Republic of South Africa. Any disputes arising from or in connection with these terms shall be subject to the exclusive jurisdiction of the courts of South Africa.
